Shemesh: The Small Print

Age Groups

Please note that RSY-Netzer works on the academic year system. All years are calculated on the basis of the state school system. For example, if your child is to go on Machane Emunah Shemesh then they must currently be in Year 8 (England) or S2 (Scotland). If you have any doubt about which camp is appropriate, please contact Alyson on 020 8349 5666.

Enrolment and Acceptance

Please note that until 6 February 2020 we have an Earlybird priority system in place for members of Reform synagogues. Applications received after this date are accepted on a first come first served basis. Therefore, if you want to have a better chance at getting a place, please apply early. To sign up fill in the online Enrolment Form at www.rsy-netzer.org.uk/shemesh-summer-camp. Once your application has been processed you will be emailed an invoice for any outstanding balance should you not have paid the full fee upfront on the Enrolment Form. Your child’s place will only be secured once we have received your deposit and the Medical and Welfare section of your child/ren’s form has been approved. If anything changes relating to the medical information before Shemesh begins it is your responsibility to advise us in writing beforehand. RSY Netzer reserves the right to refuse any applicant.

Payment

Your child/ren’s Medical and Welfare Application Form and the deposit of £330 must be received no later than 28 March 2020. The full balance must be paid by 31 May 2020. This year tuck money is included in the full cost of Shemesh. Failure to pay your deposit and full balance by these dates may put your child/ren’s place on camp at risk. Should you have paid in excess of the amount due to RSY-Netzer because of the (for example but not limited to) sibling discounts, RSY-Netzer will refund you any excess monies paid. We will contact you for your bank details if this is the case.

Financial Support

RSY-Netzer strongly believes that our young people should have the opportunity to take part in our events and we strive to support this in every way we can. Financial Assistance is available through Reform Judaism on a means tested basis to applicants who cannot meet the full cost of the programme. Payment by instalments is also possible.

There is complete confidentiality throughout the process and the identities of the recipients of Financial Assistance remain anonymous.
If you are in a financial position where you are unable to afford the full cost of the programme or would like to pay by instalments, please tick the appropriate box on the online Enrolment Form. Please complete a Financial Assistance form found through the Enrolment Form and at www.rsy-netzer.org.uk/shemesh-summer-camp.
If you are applying for Financial Assistance you will still be asked to pay the £330 deposit in order to submit the Enrolment Form. If you are unable to pay the deposit upon filling out the Enrolment Form, you will be able to submit your application and shall receive an email, instructing you of how payment will work in-line with the Financial Assistance form. If you require any help whilst completing either form, please contact Alyson Joseph on 020 8349 5666. Financial Assistance must be applied for by 4 March 2020. Late applications will be accepted; however, once our bursary fund has been allocated for the year, we are unable to provide any further bursaries. There is no cancellation charge applicable in cases where Financial Assistance is requested, but where the
request cannot be met.

Personal Possessions

We are not liable for any damage to personal possessions that are taken on camp. Therefore, we recommend that you ensure your child has cover under your household or travel insurance for any personal possessions taken on camp, for example, jewellery, clothes, electrical items or instruments (this list is not exhaustive).

Medical Needs

There will be a qualified medic on camp at all times. If you would like to discuss your child’s specific medical needs please contact Sharon Daniels on 020 8349 5661. RSY-Netzer operates a positive “can-do” attitude towards accommodating all participants.

Travel

We provide coach travel from and to London and transport from Manchester and Leeds. On departure day, you will be advised when your children have arrived on camp. On return day, your children will have their mobile phones whilst travelling so they can give you live updates throughout the journey. If there are
any major delays, we will endeavour to advise you by email/text.

Cancellation Policy

If you wish to cancel your place on Shemesh, you must contact: ajoseph@rjuk.org, in writing.

Deposits are non-refundable from 28 March 2020. If you cancel your place prior to this date, you will be entitled to a refund of any monies paid (or payable) less the £125 Administration Fee.
Any participant who cancels after the deposit deadline and before full payment is due will be entitled to a refund of all monies paid (or payable), except the £330 deposit. For any participant who cancels after 31 May 2020, no monies will be refunded.

Cancellation Cover

We recommend paying our optional £35 Cancellation Cover. If you choose to pay the Cancellation Cover, this must be paid in line with the deposit deadline of 28 March 2020. After this date no cancellation cover can be paid.
If the Cancellation Cover is paid, any participant who cancels before full payment is due on 31 May 2020 will be entitled to a full refund of all monies paid, except for the £125 Administration Fee.
Any participant who pays the Cancellation Cover and cancels after 31 May 2020 for medical reasons will be entitled to a full refund of all monies paid, less the £125 Administration Fee. A signed letter from the participant’s doctor will be required to support your cancellation for medical reasons. Any participant who cancels after 31 May 2020 for non-medical reasons will be entitled to a full refund of all monies paid, less the £330 deposit.
In the event of you taking out your own travel insurance, you will need to seek reimbursement directly from your provider as RSY-Netzer will retain monies in accordance with our Cancellation Policy above.

If you have more than one child going on an RSY-Netzer event this summer (including Israel Tour), please contact april.herbert@rjuk.org to access information regarding the sibling discounts we offer.

Data Protection

We take your privacy seriously and will only use your personal information and that of your child/ren for the purposes of Shemesh and other RSY-Netzer events (by phone, email, post and text). Your information will be stored on the Reform Judaism database and it will be shared within our organisation to those staff with authorised access.

Photos taken during Shemesh – Publication

We operate an ‘Opt-In’ System whereby we are permitted by you, we can publish photos of your child on our brochures, website, in newspapers, social media (this list is not exhaustive) if you tick the Opt-in button on the enrollment form.  Therefore, please contact the RSY-Netzer office in writing if you tick opt-in but at a later date do not want images of your child to be published.

Changes to Activities

Please note that RSY-Netzer Shemesh activities may change or face cancellation due to potential for site changes.

Force Majeure

We will not be liable to pay any compensation if we are forced to cancel or change any aspect of the Summer Camps due to circumstances beyond our control which we or our suppliers could not have reasonably foreseen or forestalled. Such circumstances include, but are not restricted to war or threat of war, terrorist activity, riots or civil strife, industrial disputes, natural or nuclear disasters, fire, bad weather, closure of airports, ports or stations, cancellation or changes in schedules by air, land or sea carriers.

Disclaimer

If you are not entirely satisfied with our events, we would be grateful if you could let us know in writing. Almost all of our costs are pre-paid on receipt of booking. As a charity we aim to cover costs and not make a profit. Therefore, should you wish to remove your child from our activities, at any time, RSY-Netzer and The Movement for Reform Judaism will not be liable for, or make any reimbursement.
